Introduction

Most business use company letter for their written correspondence. A letter can be created using the header and footers of a word processing document and then save as a template so it can be used over and over.

How to Begin (Directions & Procedures)

Letter Template

  1. Start a new word processing document.
  2. Click View, Header & Footer. A dotted box shows up where the header and footer are. The body of the document will go gray.
  3. In the header and footer there are preset tabs. A center tab in the middle. A right align tab on the right side. This makes it handy to align definite parts of the address line in a letterhead.
  4. Tab to the center of the header.
  5. Change the font to a decorative font between 18-24 points.
  6. Type in the company name and hit Enter to start a new line.
  7. Set the font back to Arial or Times New Roman in a 14 point font.
  8. Type in the street address on the left side of the header then hit Tab.
  9. The cursor is now in the center on a center tab.
  10. Type in the city, state and zip in the center.
  11. Hit another tab and the cursor is on the right align tab on the right.
  12. Type in the phone number with the area code first. (The phone number can be entered in any of the following formats: 435-864-5555, 435.864.5555, or (435)864-555.)
  13. Save the letterhead as file.

Adding Border Lines

  1. With the cursor on the bottom line a bottom border line can be added to separate the letterhead information from the rest of the letter.
  2. To add a line, choose Format, Paragraph, Borders and Shading. Choose the first tab at the top (1) Borders.
  3. Next select the (2) style of line and the (3) color you would like. Then on the right hand side choose the (4) button with the line on the bottom. Then click OK.Border Tool Button

Inserting Pictures

  1. A company logo can be added in the header area by choosing Insert, Picture, From File or Clip Art. Choose the picture and choose Insert.
  2. The picture can be adjusted where you would like by grabbing it with the mouse and dragging it to where you want it.

Information in the Footer

  1. Moving the cursor down to the footer area, additional information can be added at the bottom. A personal name, a company saying, address information, etc.
  2. A line can placed above the information the same way it was in the header but this time choose, the top line.

Saving as a Template

  1. Save, spell check, proofread, print preview.
  2. Make any corrections and changes.
  3. Proofread, save, preview and print.
  4. Save the document as a template so it can be used later. This is done by doing File, Save As, then choose Save as type at the bottom of the dialog box, then choose Document Template (*.dot). Name the document template and Save.
  5. The document template then can be load up later on for use.
